Membership Agreement, Code of Conduct, and Rules & Regulations
This Membership Agreement (“Agreement”) sets out the terms and conditions governing membership at Huron Oaks Golf Club (“the Club”). By enrolling as a Member and/or by using the Club’s facilities, each Member expressly agrees to comply with this Agreement and to ensure that their Guests also comply.
The Club reserves the right to amend these terms and conditions at any time.
1. Membership
Memberships are personal, non-transferable, and non-refundable under any circumstances, including but not limited to illness, injury, or death of a Member. The Club may, at its sole discretion, provide credits as a gesture of goodwill but is under no obligation to do so.
Membership does not confer any ownership rights or equity in the Club. The Club reserves the right to close facilities or restrict access due to weather, maintenance, events, or seasonal closure without compensation.
2. Tee Times and Check-In
Tee times must be booked online or through the Pro Shop and reserved only for the Member’s intended use. All participating players must be named at the time of booking to prevent duplicate reservations.
The Pro Shop may fill incomplete groups at its discretion. Members must wait until all assigned players have arrived before teeing off and may not start prior to their scheduled time unless authorized by staff.
All players must check in at the Pro Shop before commencing play. Permission is required to start on hole #10 or to play additional holes.
3. Course Availability
Access to the course may be restricted at the discretion of management due to weather, maintenance, tournaments, or seasonal closure. No refunds will be provided in such cases.
4. Pace of Play
The expected pace of play is:

2 hours for 9 holes
-
4 hours and 15 minutes (maximum) for 18 holes
Players are expected to play “ready golf,” limit shots to 40 seconds, mark scores on the next tee, and limit ball searches to three minutes as per the Rules of Golf. Members must maintain position with the group ahead at all times.
5. Code of Conduct
Members and Guests must act respectfully toward fellow players, staff, and property at all times. Rudeness, drunkenness, harassment, violence, profanity, or dishonest scorekeeping will not be tolerated.
Members are responsible for the behaviour of their Guests and children. Misconduct by a Guest may result in discipline against the sponsoring Member.
All Members and staff are obligated to report violations or incidents. Members must not attempt to discipline others directly but should follow the prescribed incident reporting process.
6. Alcohol Policy
In compliance with Ontario law:

All alcoholic beverages consumed on Club property must be purchased from the Club.

No outside alcohol is permitted anywhere on Club property.

Any Member or Guest found with outside alcohol may be asked to leave immediately, and the Member’s privileges or membership may be suspended or terminated at the discretion of the Club.

Members and Guests must consume alcohol responsibly. Staff have a legal obligation to refuse service if necessary.
7. Dress Code and Etiquette
Proper golf attire is required at all times.

Denim is permitted if in good repair without rips, tears, or fraying.

Jogging pants, pajama pants, gym shorts, and sweatpants are not permitted.

Caps and visors must be worn forward.

Men’s attire: tee-shirts and golf shirts are acceptable.

Ladies’ attire: shirts must have either a collar or sleeves, or a similar standard of golf-appropriate design.
Members must:

Repair divots and ball marks and rake bunkers.
-
Follow signage and cart rules.
-
Keep pull carts off all greens and teeing areas.

Conduct themselves with civility and respect at all times.
8. Guests and Responsibility for Damage
Members are fully responsible for the actions of their Guests. Members must ensure that Guests comply with Club rules and do not cause damage to the course, Club property, neighbouring homes, or any other property.
If a Guest causes damage or injury and fails to pay, the sponsoring Member will be held financially responsible. Failure to report Guest-caused damage, or to ensure restitution, may result in suspension or termination of membership.
9. Power Cart Rules

Drivers must be at least 18 years of age and hold a valid G2 or higher Ontario driver’s licence.

No more than two riders per cart; all riders must have a cart plan or pay.

Carts must remain on cart paths where required and at least 30 feet from greens and tees when no path is available.

Carts must be returned to the Pro Shop by sunset.

Members are responsible for any injury or damage arising from cart use, including repair costs.
10. Pets
Pets are not permitted on Club property.
11. Posting and Communication
Notices, posters, or announcements may not be displayed without prior approval of Club management. No communication may be issued on behalf of the Club without management’s authorization.
12. No-Show Policy
Members must cancel tee times at least 12 hours in advance online or through the Pro Shop. A no-show occurs when a player does not arrive for a booked tee time and fails to cancel in the required time.
Progressive discipline applies:

Verbal or email reminder.

Written warning.
-
Suspension of booking privileges.
13. Financial Obligations and Overdue Accounts
All accounts must remain in good standing. Bills must be paid monthly. Overdue accounts must be settled within five days or playing privileges will be suspended until payment is received. Members remain liable for all dues and charges during suspension.
14. Property and Loss
The Club is not responsible for loss, theft, or damage to personal property of Members or Guests. Members are advised not to leave valuables unattended.
No Club property may be removed from the premises.
15. Harassment and Discrimination
The Club is committed to providing an environment free from harassment and discrimination in accordance with Ontario law. Sexual harassment, discrimination, or abuse will not be tolerated.
16. Incident Reporting and Discipline
Members, Guests, or staff may submit incident reports in writing or electronically. Reports will be reviewed by management, and investigations will be conducted as necessary.
The Club may immediately suspend privileges pending investigation. Disciplinary measures, including reprimand, suspension, or expulsion, will be determined at the sole discretion of the Club, taking into account severity, impact, and prior history.
Members subject to discipline will be given at least 15 days’ notice and an opportunity to be heard. Decisions of the Club are final. Expelled Members remain liable for unpaid dues and fees.
17. Acknowledgment of Risk and Liability
Golf involves inherent risks, including but not limited to injury from golf balls, clubs, carts, uneven ground, or weather. By entering Club property, Members and Guests assume all such risks.
Members and Guests release and indemnify the Club, its owners, officers, employees, and representatives from any claims, damages, or liabilities arising from their activities at the Club, except in cases of gross negligence or willful misconduct.
18. Media, Privacy, and CCTV
By entering Club property, Members consent to the Club capturing and using photographs or video footage of them for marketing and promotional purposes without compensation.
The Club may collect and hold Member personal information for administration, communications, billing, and safety. The Club’s privacy practices comply with applicable law. The Club may use CCTV for safety and security; recorded material may be used in investigations and for legitimate Club business.
19. Force Majeure
The Club shall not be liable for failure to perform its obligations under this Agreement due to events beyond its reasonable control, including but not limited to weather, government orders, pandemics, labour disputes, or natural disasters.
20. Governing Law and Severability
This Agreement shall be governed by the laws of Ontario and Canada. If any provision is found unenforceable, the remaining provisions shall remain in full force and effect.
